<h3>Job Description</h3><p>Job Description<p><p>Job Summary</p><p>The Accounts Payable Specialist will oversee the company’s accounts payable processes, ensuring timely and accurate invoice payments while fostering strong vendor relationships. This role demands exceptional organizational skills, meticulous attention to detail, and the ability to thrive in a dynamic manufacturing environment. The position reports directly to the Head of Finance.</p><p> </p><p>Key Responsibilities</p><ul><li>Invoice Processing: Review, verify, and process vendor invoices for payment, ensuring compliance with company procedures and accuracy in all transactions.</li><li>Payment Execution: Prepare and process payments via checks, ACH, or wire transfers, ensuring vendors are paid promptly and accurately.</li><li>Vendor Management: Communicate with vendors to resolve discrepancies, respond to inquiries, and maintain positive, professional relationships.</li><li>Data Management: Accurately enter and maintain accounts payable data in the company’s accounting system, preparing weekly AP listings for the CEO.</li><li>Account Reconciliation: Reconcile vendor statements and accounts payable ledgers, promptly resolving any discrepancies to ensure accuracy.</li><li>Expense Monitoring: Track and monitor company expenses, ensuring proper coding and allocation to appropriate general ledger accounts.</li><li>Record Maintenance: Maintain organized, up-to-date records of all accounts payable transactions.</li><li>Regulatory Compliance: Ensure compliance with sales tax regulations in Canada and the USA, particularly in relation to vendor invoicing.</li><li>Cross-Functional Collaboration: Partner with the finance team, purchasing department, and other stakeholders to streamline processes and support organizational objectives.</li><li>Reporting: Assist in preparing financial reports, including accounts payable aging reports, for management review.</li></ul><p>Qualifications</p><ul><li>Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred.</li><li>Experience: Minimum of 2 years of experience in accounts payable or a similar role, ideally in a manufacturing or small to mid-sized business setting.</li><li>Technical Proficiency: Proficient in accounting software (e.g., QuickBooks), Microsoft Office Suite (Excel, Word), and e-commerce platforms such as Shopify. Basic understanding of the accounting cycle and three-way matching processes.</li><li>Attention to Detail: Exceptional accuracy and precision in data entry and financial processing.</li><li>Organizational Skills: Strong ability to prioritize tasks, manage multiple deadlines, and maintain organized records.</li><li>Communication: Excellent verbal and written communication skills for effective interaction with vendors and internal teams.</li><li>Problem-Solving: Ability to identify and resolve discrepancies in invoices or accounts efficiently.</li><li>Team Collaboration: Collaborative mindset with a proven ability to work effectively in a team-oriented environment.</li><li>Support: Additional support tasks for the finance team as identified.</li></ul><p> </p><p>Preferred Qualifications</p><ul><li>Experience in a manufacturing environment with knowledge of inventory and cost accounting.</li><li>Familiarity with managing separate financial records for Canadian and U.S. entities.</li><li>Knowledge of sales tax regulations in Canada and the USA, particularly related to vendor invoicing.</li></ul><p> </p><p> </p><p><em><em>Nootka Saunas is an equal opportunity employer, and we prohibit discrimination and harassment of any type as protected by federal, provincial, state, or local laws.
