Salary:

The Special Projects Estimator is responsible for preparing accurate, timely, and competitive estimates for small-to-mid-sized mechanical construction and special projects with a focus on tenant retrofit across plumbing and HVAC/R scopes. This role supports the Special Projects team by managing estimate requests, performing detailed takeoffs, coordinating site walks, and working closely with internal teams, suppliers, and external stakeholders to ensure project success and profitability.

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple fast-paced estimates simultaneously.

Key Responsibilities

  • Receive and manage incoming estimate requests for plumbing and HVAC/R special projects
  • Perform accurate material and labour takeoffs from drawings, specifications, site walks, and project documentation
  • Prepare detailed and competitive special project quotations based on defined scopes of work
  • Attend site walks as required to assess project conditions and confirm scope
  • Liaise with building managers, owners, operators, consultants, and General Contractors to assess project requirements and provide quotations
  • Request, review, and validate supplier and subcontractor pricing to ensure accuracy and competitiveness
  • Maintain up-to-date pricing for commonly used materials and project-specific components
  • Review estimates (in progress and completed) with the Director of Service and Special Projects and/or Chief Estimator
  • Maintain an Estimate Log tracking ongoing, upcoming, awarded, and completed special project estimates
  • Ensure all estimates comply with applicable trade standards, specifications, codes, and company policies
  • Communicate awarded projects to the Project Management and/or Coordination team to facilitate execution
  • Coordinate with internal project teams to ensure quoted scope, assumptions, and exclusions are clearly understood
  • Submit completed and approved quotations to clients in a timely and professional manner
  • Review completed projects against original estimates to identify variances and support continuous improvement in estimating accuracy
  • Build and maintain strong working relationships with clients, consultants, suppliers, and internal stakeholders

Qualifications & Skills

  • Previous estimating experience in mechanical construction or special projects (HVAC, plumbing, electrical)
  • Strong understanding of small-to-mid-sized project workflows
  • Ability to read and interpret construction drawings, specifications, and scopes of work
  • Excellent organizational and time-management skills
  • Strong communication and interpersonal abilities
  • Proficiency with estimating software, Excel, and job costing systems
  • Detail-oriented with a strong focus on accuracy and accountability
