We support clients through construction, maintenance, fabrication, pipeline integrity, and multi-discipline project execution.</p><p>Our project teams focus on engineering, estimating, and construction planning. This role ensures the information, coordination, and organization behind those efforts stays sharp, accurate, and on schedule.</p><p><strong>SUMMARY</strong></p><p>The Proposal Coordinator is the organizational hub for our pre-construction team. This is a high-level administrative project management role focused on keeping timelines tight, information organized, and deliverables polished.</p><p>You do not need construction expertise, success in this role comes from being structured, dependable, detail-focused, and comfortable following up with busy people. If you thrive on checklists, hate typos, and naturally keep others on track, this role will fit you well.</p><p><strong>Location:</strong> Acheson, AB </p><p><strong>Job Type:</strong> Full-time – Permanent</p><p><strong>Schedule:</strong> Monday – Friday (7:30AM to 4:00PM)</p><p><strong>Anticipated Start Date:</strong> ASAP</p><p><strong>WHAT YOU WILL DO</strong></p><p>Act as the “air traffic controller” for project bids, moving information, tracking deadlines, and ensuring every proposal is complete, accurate, and professional.</p><p><strong>ORGANIZE & MANAGE INFORMATION</strong></p><ul><li>Track incoming requests for quotation (RFQs)/requests for proposals (RFPs), download all relevant documents, verify completeness, and structure folders from clients portal.</li><li>Maintain current libraries for resumes, org charts, project execution plans, and standard proposal content.</li><li>Coordinate with estimators, project managers, and partners to gather required proposal materials.</li></ul><p><strong>DRIVE THE TIMELINE</strong></p><ul><li>Build and manage proposal schedules with clear milestones, internal deadlines, and check-in points.</li><li>Prompt team members for their components and ensure nothing slips through the cracks.</li><li>Set up and facilitate kick-off meetings, progress reviews, and final approval sessions.</li></ul><p><strong>ASSEMBLE & POLISH DELIVERABLES</strong></p><ul><li>Review proposal requirements and ensure every instruction, form, and mandatory deliverable is addressed.</li><li>Support non-technical writing, formatting, and document assembly.</li><li>Combine files, create consistent formatting, and ensure final submissions are error-free and client-ready.</li><li>Perform technical editing for clarity, consistency, and compliance.</li></ul><p><strong>COORDINATE COMMUNICATION</strong></p><ul><li>Serve as the primary point of contact for client correspondence during the proposal cycle.</li><li>Manage requests for information (RFI) communication and maintain an accurate, up-to-date RFI log.</li><li>Submit final proposals on behalf of the Business Development and Preconstruction teams.</li></ul><p><strong>SUPPORT CONTINUOUS IMPROVEMENT</strong></p><ul><li>Take ownership of task tracking and always finish commitments on or ahead of schedule.</li><li>Contribute to improving proposal processes and adopting automation tools where they add value.</li><li>Complete additional duties as required to support pre-construction, estimating, and workflow efficiency.</li></ul><p><strong>QUALIFICATIONS </strong></p><p><strong>EXPERIENCE & EDUCATION</strong></p><ul><li>Experience in administrative support, coordination, office management, or executive assistant roles is ideal but not mandatory.</li><li>Construction or engineering experience is <em>not</em></li><li>High school diploma required; post-secondary education in business or administration is an asset but not mandatory.</li></ul><p><strong>SKILLS & TECHNICAL ABILITY</strong></p><ul><li>Highly organized with a system for managing tasks, emails, and documents.</li><li>Strong proficiency with Microsoft Office (Word, Excel, Outlook).</li><li>Able to format documents, manage templates, and build well-structured PDFs.</li><li>Comfortable working in cloud-based platforms</li><li>Experience with Autodesk Construction Cloud is an asset.</li><li>Exposure to document automation or workflow automation tools is a plus.</li></ul><p><strong>WORK STYLE & MINDSET</strong></p><ul><li>Exceptionally reliable, follows through consistently without reminders.</li><li>Detail-driven with strong proofreading abilities.</li><li>Comfortable communicating with internal stakeholders and clients.</li><li>Confident and polite when following up with busy team members.</li><li>Able to manage competing deadlines while maintaining accuracy and professionalism.</li></ul><p><strong>KEY ATTRIBUTES</strong></p><ul><li>Highly dependable with disciplined follow-through</li><li>Organized, methodical, and process-oriented</li><li>Strong communicator (written and verbal)</li><li>Proactive problem solver</li><li>Motivated to improve processes, efficiency, and quality of deliverables</li></ul><p><strong>BENEFITS</strong></p><p>• Healthcare • Dentalcare • Vision care • Healthcare Spending Account • Life Insurance • Weekly pay schedule • RRSP matching • Hybrid WFH</p><p>Primoris embraces the belief that our employees are our greatest asset and most valuable resource.
